Subscription & Billing Policy

This Subscription & Billing Policy explains how subscriptions, billing, cancellations, and payment issues are handled on the CoreID platform operated by Velari Protocol Pty Ltd ("CoreID", "we", "us", or "our"). This policy applies to all customers unless otherwise agreed in writing.

This Subscription & Billing Policy explains how subscriptions, billing, cancellations, and payment issues are handled on the CoreID platform operated by Velari Protocol Pty Ltd ("CoreID", "we", "us", or "our"). This policy applies to all customers unless otherwise agreed in writing.

1. Subscriptions & Plans

CoreID offers subscription-based access to its platform. Subscription plans vary by features, usage limits, and support level. Details of each plan are available on our pricing page.

Some features and usage levels may require a paid subscription.

Access to certain platform features may depend not only on the selected subscription tier but also on the organization's verification status. Certain governance capabilities may require verified organizational status in addition to an active subscription.

2. Plans, Capacity & Trial

CoreID offers several subscription tiers. The current plans, prices, included CoreID capacity, overage rates, seat limits, and support levels are listed on our pricing page, which is the canonical source for plan details.

Allowance and overage. Each paid plan includes an allowance of CoreIDs (registered AI systems) covered by the base subscription fee. Plans above the entry tier allow additional CoreIDs beyond the allowance ("overage"), billed monthly at the per-CoreID rate shown for that plan. Only submitted, active CoreIDs count toward the allowance; drafts and CoreIDs in a terminal state (for example, retired, revoked, prohibited, deprecated, or transferred out) do not.

Billing cadence and annual discount. Plans are billed monthly or annually. Annual billing includes a 15% discount. Overage, where applicable, is billed monthly in arrears.

Free trial. New organizations receive a 14-day free trial, available on all plans for first-time subscribers. Payment details are required to start the trial. No charge is made until the trial ends, and you may cancel at any time before then.

Customers may upgrade to a higher tier at any time to access greater capacity and additional support.

3. Billing & Payments

  • Subscriptions are billed on a recurring basis (monthly or annually, depending on the selected plan)
  • Billing begins immediately upon trial expiry or plan activation
  • Usage-based charges (if applicable) are billed monthly
  • All fees are exclusive of applicable taxes unless stated otherwise

You are responsible for keeping your billing information accurate and up to date.

Payments are processed by our third-party payment processor, Stripe. CoreID does not store full payment card details. Stripe's handling of payment information is governed by its own terms and privacy policy.

Payment of subscription fees does not override organizational verification requirements. CoreID may restrict or limit access to certain features where verification obligations have not been satisfied, regardless of subscription status.

4. Plan Changes

  • Upgrades take effect immediately and may be billed on a prorated basis
  • Downgrades take effect at the end of the current billing cycle
  • Changing plans does not reset your billing cycle

5. Cancellation

You may cancel your subscription at any time through your account settings.

Upon cancellation:

  • Your subscription remains active until the end of the current billing period
  • No further charges will be applied unless you reactivate
  • Your account may move to a limited or archived state after cancellation, in accordance with our Data Retention, Storage & Archiving Policy and compliance requirements

Verification status changes (including lapse, downgrade, or reclassification) do not automatically cancel or modify an active subscription. Subscription status and verification status are governed separately under applicable policies.

5A. Refunds

Except as required by law, CoreID does not offer refunds for subscription fees already paid. Upon cancellation, your subscription remains active until the end of the current billing period, and no partial refunds are issued for unused time within a billing cycle.

Our services come with guarantees that cannot be excluded under the Australian Consumer Law. For a major failure with a service, you are entitled to cancel your service contract with us and to a refund for the unused portion, or to compensation for its reduced value. If a failure with a service does not amount to a major failure, you are entitled to have the failure rectified within a reasonable time, and if this is not done, to cancel the contract and obtain a refund of any unused portion. You are also entitled to be compensated for any other reasonably foreseeable loss or damage resulting from a failure in the services.

Nothing in this policy excludes, restricts, or modifies any consumer guarantee, right, or remedy you may have under the Australian Consumer Law or any other applicable law that cannot lawfully be excluded, restricted, or modified. To the extent that any provision of this policy is inconsistent with those rights, that provision applies only to the extent permitted by law.

6. Data Access After Cancellation

After cancellation:

  • Existing data and records are preserved for a limited period, subject to applicable legal, regulatory, and compliance obligations
  • Access may be restricted to read-only
  • Data retention is handled in accordance with our Data Retention, Storage & Archiving Policy and applicable compliance obligations

You may request a data export where permitted.

7. Failed Payments & Non-Payment

If a payment fails:

  • We may attempt to process the payment again
  • We may notify you and request updated billing information

If payment issues are not resolved:

  • Access to certain features may be restricted
  • Your account may be placed in a read-only or archived state
  • New submissions or updates may be temporarily disabled

Payment retry attempts and notification timing do not delay or waive enforcement of these terms.

8. Account Suspension or Termination

If payment remains unresolved for an extended period:

  • Your subscription may be canceled
  • Access to the service may be restricted or terminated
  • Data may be retained for legal, regulatory, or compliance purposes

Reactivation after cancellation due to non-payment may require administrative review.

9. Reactivation

Reactivation may be available depending on factors including:

  • The reason for cancellation
  • Whether any outstanding balance exists

Some accounts may require manual review before reactivation.

10. Enterprise Accounts

Enterprise subscriptions may be subject to additional terms, including custom pricing, usage limits, and data handling arrangements.

11. Changes to This Policy

We may update this Subscription & Billing Policy from time to time. Any changes will be posted on this page and take effect from the date shown above.
